Founded in 1979, the Johns Hopkins Center for Talented Youth (CTY) is a center for innovation dedicated to advancing the field of gifted education through research on testing, programs, and other supports for advanced learners. Based on the concept that advanced learners come from every community and every demographic, we aim to understand and inform how these students need to be nurtured to achieve their full potential as learners and global citizens. CTY also runs in-person and online academic programs for bright learners to cultivate a community of advanced learners and connect students in and outside the classroom.


We are seeking an Academic Program Coordinator who will perform key tasks to support the daily operations of CTY’s academic programs. The Academic Program Coordinator ensures students and staff have timely and appropriate levels of access to systems and digital tools and provides technical support as needed. The Academic Program Coordinator also supports the delivery of academic programming by ensuring courses are ready at the start of each session and all close-out activities are completed after the session ends. This position also provides support services to staff, such as ordering and shipping instructional materials.



Specific Duties & Responsibilities

  • Delivers efficient and high-quality service to CTY families and staff. Communicates frequently with academic teams to provide timely course and staffing support.
  • Assists with employee onboarding. Provides employees access to systems, servers, courses, and digital resources. Creates and maintains staff records/accounts in databases and systems, enables appropriate roles and permissions within systems and individual courses, and sets up user groups and learning cohorts in courses. Terminates access as needed or when the employment agreement ends.
  • Assists in all stages of the course production process by creating course shells and copies as needed; ensuring instructors, course developers, and staff can access their courses; alerting managers to course issues and discrepancies; and ensuring all courses are set up properly. Provides status updates to ensure program operations stay on schedule.
  • Assists with operational processes related to the opening, closing, and archiving of online courses.
  • Supports the instructional technologist and academic program managers with editing and configuring courses as needed.
  • Coordinates the purchase and shipment of instructional materials to staff. Provides reports on instructional resources and equipment use by request for budgeting and planning purposes.
  • Collaborates with academic teams, IT, and technical support vendors to respond to escalated technical support tickets. Ensures customers receive technical support assistance within expected timeframes.
  • Assists with processing timesheets and employment contracts for casual employees.
  • Assists with problem-solving related to enrollment issues per request of Program Managers or Enrollment Services. Promptly reports issues with automated processes to the team supervisor and Enrollment team along with pertinent examples.
  • Coordinates website updates and ensure published information is accurate and relevant.
  • Collaborates on process improvements and serve as a primary tester for enhancements to systems and processes. Documents and escalates issues to the Administrative Supervisor and Senior Program Officer. Creates and maintains documentation on operational procedures. Assists with training fellow team members as needed.
  • Collaborates with team members to perform work as necessary for work volume to ensure continuous delivery of services to students and staff.
  • Fills in for key staff during absences.
  • Supports the Administrative Supervisor and Senior Program Officer by performing other duties as assigned.

  • Proficiency in Microsoft 365 applications, especially Teams and Excel.


Additional Information

  • Applicants must be authorized to work in the US.
  • All employees participating in or serving children in university programs must participate in mandatory Child Abuse Prevention online training on the appropriate conduct around children, protecting children from abuse and neglect, and reporting known or suspected child abuse and neglect.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree preferred.

Role/Level/Range: ATO 37.5/02/OE  
Starting Salary Range: $18.20 - $33.90 HRLY ($50,700 targeted; Commensurate with experience) 
Employee group: Full Time
