This position is being hired through our temp agency partner Spherion and the advertisement for this position will stay posted until the position is filled.

The Department of Mathematics is housed within the Academic Affairs division of Liberal Arts and Sciences at Santa Fe College. The department is dedicated to innovative instruction designed to develop the skills necessary to understand and apply mathematical concepts and reasoning, to help students understand and appreciate the role of mathematics in daily life and the community, and to analyze and interpret various types of data.

The department is seeking a part-time Administrative Assistant to provide administrative support for the department through customer service, maintaining records, and accepting responsibility for a variety of activities that are very specific to the area assigned. The incumbent will complete a wide range of basic administrative tasks and assist with the general coordination of day-to-day operations of the department. The Administrative Assistant will work roughly 12 hours per week during academic terms at a rate of $18 per hour.

 

Job Description

Responsibilities and Duties Include:

  • Provides support for the Department of Mathematics, such as answering telephones, taking messages, responding to email requests, scheduling appointments, or assisting students, college employees and the public by responding to concerns/inquiries and providing some front-line level of resolution while making appropriate referrals as necessary.

  • Assists with a wide variety of administrative tasks including the preparation and submission of faculty load sheets, maintenance of course schedules, and payroll functions including the submission and audit of absence/sub forms for faculty.

  • Provides administrative support by making travel arrangements, department purchasing, inventory, and requisitioning of supplies, equipment, and furniture.

  • Reconciles department budget reports by compiling and logging supporting documentation records and performing basic, routine bookkeeping functions relative to the department budget..

  • Submit work orders for additional services (facilities team, IT team, police dept).

  • May schedule or assist in scheduling appointments, meetings, and/or conferences.

  • Attends mandatory department meetings, trainings, and events.

  • Maintains confidentiality and security of student and/or department records and other sensitive information.

  • May assist in the development or upkeep of the department webpage.

  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.

  • Provides service excellence through courteous, informed, accessible, and professional engagement

  • Performs other duties as assigned.

Reports to: Chair, Mathematics

QUALIFICATIONS

Required: An associate's degree or equivalent with two (2) years of related work experience or a combination of completed education and/or related work experience equal to four (4) years.
Additional Requirements: A criminal background check will be conducted
Preferred: Experience working in an academic setting.

  • Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.

  • Multi-task - Ability to expeditiously organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
